Steps to Deleting an Employee - including Task Clearing

  • Go to the Settings tab, then hover over Users and click User list. Find the employee in question and click edit.
  • Remove their email
  • Then change their password
  • Update their signature to read something like “Your Friends at”, which indicates Orphan status or some other generic email name you used until you can reassign the customers. You do this just in case a task would fire while you were in process of making these changes.
  • If they receive scheduled reports you would want to go into the report and modify it to remove their email address from scheduled reports there
  • So you would go to reports, then click on CRM reports, and then click on “Custom Reports”, the at the top right hand side of the screen you can click on the reports schedule to see all of your scheduled reports so you can determine which ones might need modified and remove their email address from the schedule.
  • Next you would want to re-assign their customers to other salespeople or managers. Remember if there is a lot it might fire off a bunch of tasks for a changed salesman, so if there are a lot of customers this might be something you do for a period of time so not to overwhelm the staff. Another option would be to assign them all to an Orphan owner, Your Friends At, and as tasks come due it would allow you to move them to an active salesman to complete the task to complete whatever schedule processes you have for each. You can see this activity on the Manager dashboard in the Activity section and any customer that shows as Y at you can click on the tasks and assign right then as well as put in target notes if you like. So to get to re-assign customer go to Settings> ILM/CRM Settings> Re-Assignment by rep click on this and choose the employee to whom you are removing their customers from them, then in the box that pops up on the right choose who you want to assign them to. If you hold down the control key while you click the employees to reassign to you can choose multiples. If you do not want the "Change Sales rep" process to fire then uncheck the trigger box next to the process in the re-assignment screen.
  • The next to the last step is going to be to clear all tasks. To do this you will need to go to the task count listing and see if there are any outstanding tasks that are overdue, etc. So go to Settings > ILM</CRM Settings and click on Task Count List. From there check all the different user groups that are assigned to this employee to ensure all tasks are done and remove them if any exist.
  • Finally, once customers are assigned, and then you can go to Settings then click Dealer Settings and then click on the Users tab and find the individual and perform the FINAL delete by clicking on the Delete next to their name in the list.
